Main Responsibilities

To be responsible for:

  • Acting as the designated DPS for the venue and carrying out all associated duties.
  • Performing the duties of Bar Supervisor (a separate Job Description is attached for this element of the role).
  • Managing the Club’s email system, responding promptly to enquiries for private hire, etc., within the agreed service levels.
  • Supporting and maintaining the Club’s website, membership database, and any other relevant systems or processes.
  • Organising and coordinating occasional community events as required.

Fixed Term: Ending on 31 May 2027

Salary: £14.00 per hour

Working Hours: 25 hours per week, with a requirement for flexibility regarding days and times in order to align with any private hire bookings and the usual Bar Supervisor duty arrangements.

Weekend and out-of-hours work will be required – these will be agreed in advance wherever possible.
Availability to answer phone calls during and sometimes outside normal working hours is expected.


Accountable To / Line Management

Close day-to-day working relationship with the Treasurer, with close collaboration with bar staff for Bar Supervisor tasks – ultimately accountable to the Committee at monthly meetings if required.


Main Duties

  • As the Club’s DPS, ensure the Club fully complies with all licensing requirements and that staff are fully trained to achieve this.
  • Act as the Responsible Officer for any Fire Safety requirements (regular equipment checks are included in the Bar Supervisor responsibilities document).
  • Act as the first point of contact for private hire and community events by monitoring the general email system twice daily.

Service expectation: no email should go unanswered for more than half a day – interim responses are acceptable provided they are sent within 5 hours.

  • Manage all private hire bookings. Agree costs with the Treasurer, ensure sufficient information is collected to issue invoices accurately, and monitor receipt of payments.
  • Attend monthly Pubwatch meetings to ensure the Club is aware of relevant issues discussed.
  • Maintain the membership database under the guidance of the committee member responsible for Membership (currently Stephen Fairclough) and in collaboration with the Treasurer.
  • Prepare periodic membership newsletters (frequency to be agreed) for approval by the relevant committee member. Mailchimp will be used for these communications.
  • Prepare periodic communications for Bridge Club subscribers promoting events and recent successes. Content to be agreed with the Committee via the Treasurer.
  • Ensure the website’s internal and public calendar is continuously updated with full details (contact details, times, type of event, buffet, etc.).
  • Assist in developing the Club’s website to improve its appeal, functionality, and promotion of its offerings.
  • Identify, organise, and coordinate occasional community events that complement the Club’s Events Organiser’s work.
  • Monitor on-site event resources including equipment and furniture, maintain equipment lists, and discuss requirements with the Treasurer.
  • Prepare periodic PPL/PRS returns accurately and within deadlines.
  • Contribute to the design of event promotional materials such as leaflets, posters, and tickets.
  • Implement and maintain data recording systems in line with policies and procedures (e.g. attendance, ethnicity, gender) as determined by the Committee.
  • Contribute to developing the Bridge Club brand and promoting the venue within the town, county, and beyond.
  • Make the Bridge Club an attractive destination.
  • Act as an ambassador with external partners and stakeholders and represent the Club at meetings and events.
  • Build and maintain useful partnerships for developing events and audiences.
  • Undertake other reasonable duties as required from time to time.
  • Handle confidential or sensitive information in accordance with the Data Protection Act and GDPR.
